01 / FABRICATION

One facility. Every booth.

Every exhibit Xibeo delivers, anywhere in the country, is designed and built in our 30,000 square foot Ventura facility. Engineering, carpentry, metalwork, graphics, and electrical all happen under one roof. No outsourced fabricators. No subcontracted regional builders. The booth that arrives in Las Vegas was built by the same crew as the booth that arrives in New York.

02 / FREIGHT

Cross-country logistics, in-house.

Our exhibit logistics team coordinates show-to-show freight, drayage, and warehousing through carriers we have worked with for years. Booths stage in Ventura, ship to advance warehouses against show deadlines, and arrive on the dock when targeted. For multi-show programs, the same booth tours from city to city without returning to California between events.

03 / INSTALL

Crews in every major market.

We have working relationships with installation and dismantle crews in every major convention market. They are vetted, supervised, and accountable to our project managers, not to the show venue. When required, we send a Xibeo project lead on-site to oversee install. You get experienced labor in Vegas, Orlando, Chicago, and beyond, coordinated centrally from our Ventura headquarters.

National fulfillment only works when the process is repeatable. Here is what happens between the day you reach out and the day your booth opens to the convention floor.

Show review and project scoping

We start by understanding the show: venue, booth size, freight deadlines, union rules, fire code, and any restrictions specific to that convention center. Every show floor has its own constraints. We map them before design begins.

Design and 3D rendering

Our design team builds a concept tailored to your brand, your goals on the show floor, and the constraints of the venue. You see the booth in 3D rendering before fabrication begins. Revisions happen here, not on the show floor.

Fabrication in Ventura

Structural builds, graphics, lighting, AV integration, and finishing all happen in our facility. We pre-build and stage the full booth before shipping so that what arrives in your destination city is exactly what we showed you in rendering.

Freight and advance warehouse

We coordinate freight to the show's advance warehouse or marshalling yard against the venue's deadlines. Drayage paperwork, hazardous material disclosures, and fire marshal documentation all get submitted in advance, not at the dock.

On-site installation

Vetted I&D crews install on schedule, supervised by your project manager either remotely or on-site for complex builds. Punch list complete before the show floor opens. You walk into a finished booth.

Dismantle, return, and storage

When the show closes, we dismantle, crate, and route the booth either back to Ventura for storage, forward to the next show on your calendar, or to an external warehouse if you have your own facility.

What exhibitors ask before trusting Xibeo with a show outside California.

Are you actually national, or California-focused with occasional out-of-state work?

National. Our project history covers all fifty states, with the highest volume in Las Vegas, Orlando, Chicago, New York, Atlanta, and Anaheim. Our custom exhibit builds and rental programs ship from Ventura to every major convention center in the country. We are not a regional shop taking the occasional far show.

How do you handle installation crews in cities you don't have an office in?

We have vetted I&D partners in every major convention market. These are crews we have worked with for years, not a directory we pull from cold. They follow our build instructions, report to your Xibeo project manager, and get supervised either remotely or on-site depending on booth complexity. For our double deck booths and other complex builds, a Xibeo lead is typically on-site to oversee install.

What about freight, drayage, and union rules in different cities?

That is what our exhibit logistics team handles. Every major show floor has its own rules. McCormick Place has different drayage requirements than the Las Vegas Convention Center. Javits has different union jurisdictions than Orange County Convention Center. We map all of this against your show calendar before fabrication starts.

Can you handle multi-show programs that tour across cities?

Yes. Multi-show turnkey programs are a core service. We route booths city to city to avoid round-trip freight to Ventura, manage storage between shows, refresh graphics for new product launches, and coordinate the full calendar through one project manager. Multi-show clients are the best fit for our model.

My show is in a smaller market not listed above. Can you still serve it?

Yes. The city list above shows where volume is highest. Coverage extends well beyond it. If the show is on a US fairground, expo hall, hotel ballroom, or convention center, we can deliver, install, and dismantle there. Tell us the city and we will confirm exactly what fulfillment looks like.

How does pricing change for shows on the East Coast vs. close to your Ventura facility?

Freight is the main variable. Design, fabrication, and labor pricing stays consistent. East Coast and Midwest shows carry higher shipping cost because the booth ships further from Ventura. For exhibitors with East Coast-heavy schedules, our rental programs often work out cheaper than custom ownership because the booth lives closer to where it deploys. We will lay out total project cost line by line before you commit.
