Most exhibitors don’t have the bandwidth to manage all of that on top of pre-show marketing, sales team prep, and stakeholder communication. QDo you handle both shipping and on-site setup?

Yes. We coordinate freight delivery, advance warehouse prep, show-site install supervision, dismantle, and return shipping. Our project managers work directly with show contractors at every major venue, handle electrical and internet orders, schedule union labor windows, and own the on-site supervision so your team can focus on running the show. You don't lift anything.

QWhat if I don't have a booth yet?

No problem. Logistics is a service we provide alongside booth design and fabrication, not a standalone process. We'll help you build the booth through custom exhibit builds, modular trade show booths, custom rentals, or portable displays depending on your show schedule and budget, then coordinate the logistics as part of the same engagement. One project manager runs the whole thing.

QCan you store my exhibit between shows?

Yes. We provide climate-controlled storage at our Ventura facility plus partnerships with regional warehouses near major show markets. For brands running tight multi-show schedules, we can route your booth between cities without it returning to a central warehouse, which cuts freight costs and storage days. Short-term holding between events or full-year storage with inventory management both work depending on your needs.

QCan Xibeo handle logistics for booths we built with another vendor?

Yes. We provide standalone logistics services for exhibits built by other fabricators. The booth doesn't need to be one of ours for us to manage your freight, advance warehouse coordination, union labor scheduling, install supervision, dismantle, and storage. Many brands switch their logistics provider before they switch their fabricator because the operational pain happens on show day, not during fabrication.

QDo you handle international freight and customs paperwork?

Yes. We manage international freight for shows in Canada, Mexico, Europe, and Asia. That includes customs documentation, ATA Carnet processing, freight forwarder coordination, and on-the-ground partner relationships in major international show markets. International logistics requires longer lead times (typically eight to ten weeks for ocean freight, three to four weeks for air), so we plan around those windows from the first project meeting.

QWhat happens if a freight delay or shipping problem occurs?

We handle it. Our project managers work directly with carriers, advance warehouses, and show contractors, so when something goes sideways, the right people are already in our phone. We have repair capabilities for damaged components, express fabrication for replacement parts on three to five day turnarounds, and local vendor relationships in major markets for emergency support. The goal is to keep your booth on schedule even when freight providers don't cooperate.
